Webiano Code of Ethics
The Webiano Code of Ethics sets out the principles that guide our relationships with clients, partners, colleagues, technologies, content, and society.
Our objective is not merely to achieve measurable results. We are committed to achieving them in an honest, responsible, secure, and sustainable manner.
This Code applies to all members of the Webiano team, external collaborators, suppliers, and partners involved in our projects.
Integrity and Transparency
We act openly, honestly, and truthfully in all professional and business relationships.
We provide clients with accurate information about opportunities, costs, timelines, risks, and expected outcomes. We do not promise results that cannot be reasonably substantiated or guaranteed.
We do not withhold material information that could influence a client’s decision. If an error, delay, or technical issue occurs, we communicate it without undue delay and propose an appropriate solution.
We present marketing results, statistics, references, and case studies accurately and without misleading distortion.
Acting in the Client’s Best Interests
We approach every project with respect for the client’s business objectives, brand, budget, and long-term interests.
We recommend only those services, tools, and solutions that provide genuine professional or commercial value. We do not create artificial needs or propose unnecessary work merely to increase the value of an engagement.
We inform clients when a requested course of action may result in security risks, reputational damage, legal non-compliance, or inefficient use of resources.
We respect the client’s final decision provided that it is not contrary to the law, this Code, or the fundamental principles of professional integrity.
Professional Independence
Our recommendations are based on professional assessment, available evidence, and relevant experience.
We do not allow our professional judgement to be influenced by personal benefit, undisclosed commissions, political pressure, or undisclosed commercial interests.
Where we receive a commission, referral fee, or other benefit in connection with a recommended product or service, we disclose this transparently.
Conflicts of Interest
We identify and address potential conflicts of interest before the commencement of an engagement or immediately after they become known.
We do not use a client’s confidential information, strategy, data, or internal knowledge for the benefit of a direct competitor without the client’s knowledge and consent.
Where we work with organisations operating in the same sector, we structure the engagement to preserve confidentiality, project separation, and the legitimate commercial interests of all parties.
Protection of Confidential Information
All non-public information obtained in the course of our work is treated as confidential.
We protect, in particular:
- business strategies,
- access credentials,
- personal data,
- databases and analytical data,
- financial information,
- internal communications,
- products and campaigns under development,
- technical documentation,
- source code and system configurations.
We do not disclose confidential information to third parties without the client’s authorisation, except where disclosure is required by law.
Our confidentiality obligations continue after the end of the engagement.
Protection of Personal Data
We process personal data only to the extent necessary for a clearly defined and legitimate purpose.
When designing websites, analytics systems, forms, campaigns, and databases, we apply the principles of:
- data minimisation,
- purpose limitation,
- appropriate retention periods,
- access control,
- secure transmission and storage,
- transparent communication with users.
We do not use personal data in a manner that is unlawful, disproportionate, or inconsistent with the reasonable expectations of the individuals concerned.
Digital Security
We regard security not as a one-off technical task, but as an ongoing process.
When working with websites, servers, and digital platforms, we apply appropriate security measures, including:
- strong authentication and multi-factor authentication,
- restricted user permissions,
- regular updates,
- secure backup procedures,
- encrypted connections,
- incident monitoring,
- protection of access credentials,
- separation of production and testing environments where appropriate.
We do not access, test, or modify third-party systems, accounts, or data without explicit authorisation.
We do not exploit security vulnerabilities. Where vulnerabilities are identified, we disclose them responsibly to the relevant individuals or organisations.
Responsible Use of Artificial Intelligence
We use artificial intelligence as a tool to support analysis, content creation, automation, and decision-making. AI does not replace human professional responsibility.
AI-generated outputs are subject to appropriate review, particularly where they may affect:
- publicly available information,
- business decisions,
- legal or technical claims,
- system security,
- a client’s reputation,
- the rights of identifiable individuals.
We do not present automatically generated information as verified fact without appropriate validation.
We do not submit confidential client information, personal data, access credentials, or information protected by confidentiality obligations to public AI systems unless we have proper authorisation and appropriate technical safeguards in place.
We do not use artificial intelligence to create fraudulent, manipulative, or intentionally misleading content.
Accuracy and Integrity of Content
We produce content with a strong emphasis on accuracy, clarity, credibility, and appropriate source verification.
We distinguish between:
- fact,
- professional opinion,
- estimate,
- advertising,
- commentary,
- hypothesis,
- automatically generated content.
We do not create fabricated quotations, non-existent sources, invented statistics, or misleading expert claims.
Where a material error is identified after publication, we arrange for it to be corrected or notify the client without undue delay.
Copyright and Intellectual Property
We respect copyright, licensing terms, trademarks, and other intellectual property rights.
We do not use third-party text, photographs, videos, music, graphics, databases, software, or source code without the appropriate rights or authorisation.
When using external materials, we comply with the applicable licence terms, attribution requirements, and agreed conditions of use.
We clearly inform clients which deliverables have been created specifically for them, which contain licensed third-party elements, and what rights are transferred or granted to the client.
Ethical Marketing
We do not create campaigns based on deception, concealed manipulation, fear, or the exploitation of vulnerable individuals or groups.
We reject, in particular:
- fabricated reviews and ratings,
- fake user accounts,
- false endorsements,
- undisclosed commercial partnerships,
- misleading pricing claims,
- artificial inflation of traffic or engagement,
- fraudulent link-building practices,
- unauthorised mass messaging,
- techniques intentionally designed to mislead users.
Advertising and sponsored content are identified in a manner that enables users to understand their commercial nature.
Search engine optimisation and optimisation for artificial intelligence systems are carried out to improve the accessibility, structure, relevance, and quality of information, not to manipulate information systems through deceptive practices.
Respect for Users
We design digital products to be understandable, secure, and usable.
We avoid manipulative interface practices that pressure users into decisions contrary to their interests or deliberately make it difficult for them to:
- refuse consent,
- cancel a service,
- change a setting,
- delete an account,
- understand the price,
- control their personal data.
We support appropriate standards of digital accessibility and the creation of content that can be used by the widest possible range of people.
Respectful Communication
We communicate with clients, partners, suppliers, and colleagues in a professional, factual, and respectful manner.
We do not tolerate humiliation, harassment, discrimination, threats, personal attacks, or abuse of power.
Professional disagreements are addressed through evidence and reasoned argument, not pressure or personal attacks.
Equal Treatment
We make professional and commercial decisions based on competence, reliability, quality, and alignment with our values.
We do not discriminate against individuals on the basis of origin, nationality, sex, age, disability, religion, identity, or any other personal characteristic unrelated to the professional relationship.
Fair Commercial Terms
We aim to define the scope of work, fees, timelines, responsibilities, and delivery conditions clearly and transparently.
Additional work is carried out only with the client’s agreement, unless an immediate intervention is necessary to prevent imminent damage or address a security incident.
We issue invoices in accordance with the agreed terms and do not knowingly charge for work that has not been performed.
We expect the same level of fairness, cooperation, and compliance with agreed obligations from our clients and partners.
Relationships with Suppliers and Partners
We select suppliers and partners on the basis of quality, reliability, security, and suitability for the project.
We do not accept benefits that could improperly influence our professional or commercial decisions.
We expect all partners involved in Webiano projects to respect confidentiality, data protection, intellectual property rights, and the fundamental principles of this Code.
Refusal of Unethical Projects
Webiano reserves the right to refuse or terminate any engagement involving, in particular:
- fraud or deliberate deception,
- unauthorised acquisition of data,
- damage to or intrusion into third-party systems,
- distribution of malicious software,
- identity or evidence falsification,
- deliberate infringement of intellectual property rights,
- hateful or discriminatory content,
- unlawful sales or promotion,
- manipulation of the public through false information,
- practices that harm users or third parties.
The commercial value of a project never takes precedence over legality, security, and professional integrity.
Responsibility for Quality
We work in accordance with professional standards and with a level of care appropriate to the nature of each project.
We continuously develop our expertise and monitor changes in technology, security risks, digital platforms, and communication practices.
We are transparent about the limits of our own expertise. Where a project requires a specialist from another field, we recommend their involvement or inform the client of that requirement.
Sustainability
When making technological and operational decisions, we consider not only performance and cost, but also the long-term sustainability of the solution.
We favour:
- efficient and proportionate infrastructure,
- maintainable and scalable solutions,
- reduction of unnecessary data transfers,
- longer life cycles for digital products,
- responsible data retention and deletion,
- realistic and proportionate technological requirements.
We do not treat sustainability as a marketing claim, but as an integral part of responsible design and high-quality operations.
Reporting Concerns
Every team member and collaborator has the right to report conduct that may be inconsistent with this Code.
Such concerns are assessed confidentially, objectively, and without retaliation against any person who raises them in good faith.
Clients and partners may report potential violations of this Code through Webiano’s official communication channels.
Addressing Violations
Any suspected violation of this Code is assessed according to its seriousness, circumstances, and potential consequences.
Appropriate measures may include:
- clarification and remediation,
- correction or withdrawal of a deliverable,
- modification of working procedures,
- restriction of access,
- termination of cooperation,
- notification of affected parties,
- any further action required by applicable law.
The objective is not only to determine responsibility, but primarily to resolve the issue and reduce the risk of recurrence.
Final Commitment
For Webiano, ethics is not an addition to business. It is an integral part of how we design solutions, communicate, protect data, use technology, and build long-term relationships.
Webiano is committed to conducting its work honestly, professionally, transparently, and responsibly towards clients, users, partners, and society as a whole.
This Code of Ethics is reviewed and updated periodically to reflect developments in technology, legal requirements, and professional standards.
